BRD (Business Requirements Document)

The BRD is where a software project stops being an idea and becomes a commission. It is the document that translates business intent into something a vendor or internal team can be held accountable for — and the one whose absence is most often blamed when a delivered system does not do what the business expected. Every disputed project in your career will, at some point, turn on the question: was that in the BRD?

What It Is

A Business Requirements Document describes what the business needs a system to do, written from the business perspective rather than the technical one. It states the problem, the objectives, the business processes affected, the stakeholders, and the high-level capabilities required — without prescribing how the technology should achieve them. A good BRD answers 'why' and 'what', deliberately leaving 'how' to the technical documents that follow: the SRS for functional detail, the architecture documents for design. It typically includes scope boundaries (what is explicitly out of scope — often the most valuable section), assumptions, constraints, and success criteria.

Why It Matters to You

The BRD is your primary instrument of control over a software engagement. When a vendor says a feature is 'out of scope', the BRD is the document both sides reach for. When a project overruns, the first audit question is whether requirements were complete. A weak BRD transfers risk to you: anything not written down becomes a negotiation. Reading one critically is an executive skill — look for measurable success criteria, explicit exclusions, and named business owners for each requirement, not just a wish list.

When You'll Meet It

At the start of any vendor engagement or internal build. You will be asked to sign off a BRD before detailed work begins — that sign-off is a commitment, and the right moment to challenge scope, not after development starts.
